Refund policy

Plans change. Here's exactly what happens if you need to cancel or reschedule, and what we'll do if we can't go ahead from our end.
If you need to cancel

To cancel, just email therollingrange@gmail.com. The earlier you tell us, the more we can refund.
Why the tiers? Once your event is booked, that date is held just for you. The closer we get to the day, the harder it is for us to fill that slot with another booking.
If you need to reschedule
You can reschedule once for free, as long as:
- You let us know at least 7 days before your event
- We have your new date available within 12 months of the original event
After your first free reschedule, a $50 admin fee applies to cover the rebooking.
If we cancel because of weather or safety
For outdoor events, we keep a close eye on the forecast in the days leading up to your event. If conditions mean we can't safely set up or run the simulator, we'll let you know as early as we can.
The kinds of conditions that stop us going ahead:
- Sustained wind gusts above 30km/h
- Lightning in the area
- Severe rain
- Waterlogged or unstable ground
When that happens, you choose: a full refund or a free reschedule to a date that suits you.
The call is ours to make. We won't compromise on safety, even when the forecast looks borderline.
If you have an indoor backup space, let us know early. We're happy to set up indoors instead of cancelling.
If we cancel for any other reason
If something on our end stops us going ahead - gear failure, illness, no back-up operator available - you get a full refund plus first priority on a reschedule date that works for you.
This shouldn't happen often. We carry spares, plan our calendar carefully, and have processes in place to keep things running. But if it does, we make it right.
Things outside anyone's control
If your event can't go ahead because of something neither of us can control - government lockdowns, natural disasters, your venue cancelling on you, public health restrictions, or similar - we'll work with you to reschedule at no extra cost.
If a refund is the better option for you, we'll refund what we can, less any third-party costs we've already paid out and can't recover.
How refunds are processed
Refunds are returned to the original payment method within 7 business days of the cancellation being confirmed.
